Glossary of Terms

Pre conference workshops
Workshops will focus on developing evaluation techniques and practices. They may be designed for those new to evaluation or for more advanced practitioners. Teams of two or more presenters are encouraged.

Paper Sessions
Papers
A presentation of a paper by single or joint authors. Presenters will have up to 40 minutes to present their paper. This time includes ten minutes discussion time. Abstracts should detail the focus of the paper and the way(s) in which it contributes to the body of knowledge in the field of evaluation. Final papers will be published as part of the conference proceedings.

Short papers
Presentation of a short paper of approximately 15 minutes duration. This time includes a short question time. Papers will be grouped into themes and presented in a session led by a discussant. The discussant will provide a commentary on the papers and facilitate discussion and debate. Abstracts should identify the issue or issues that it addresses. No full paper is required for a short paper.

Interactive Sessions
These sessions offer a range of opportunities to network, discuss new and emerging issues, share problems and solutions and share different perspectives.

Poster
A formal graphic presentation of a particular topic, methodological developments and evaluation approaches or other matters. Sessions times will be organised for presenters to be at their posters to discuss their work and receive feedback. Posters should be no larger than 1m in width and 1.5 m in height. Abstract should indicate the poster theme and likely format of the presentation.

Think tank
This session will focus on a single issue or question. The presenter will be expected to orientate their audience to the issue before they break into smaller groups for discussion. The group will reconvene to share their understandings facilitated by a chairperson. The abstract should identify the issue or question to be discussed, outline the relevant contextual factors and the likely roles of the breakout groups.

Roundtable
Roundtable discussions will provide a more informal environment to discuss a range of issues. The presenter will be available at a table to generate discussion on specific issues. A number of round tables will be available for the session and participants are free to move from table to table. (Where possible the roundtable sessions will be grouped around common themes.) Abstracts should identify the issue to be discussed and the possible questions to be raised.

Debates and Dilemmas
This session is primarily an open problem solving session. The format of the session involves the presentation of a problem or issue that has arisen in practice or has posed a problem for the evaluator. A number of tables will be available and participants will briefly present their concern and then others at the table will contribute their own experiences, insights and thoughts about the issue and its effective resolution. The session is intended to be a constructive and supportive forum. Abstracts should present a short précis of the issue.

Process
All proposals will go through the following process:

1.
An email confirmation of receipt of proposal will be sent
2.
All proposals will be reviewed by a panel from the organising committee
3.
Acceptance of a proposal will be based on relative merit and the degree to which the proposal meets the aims of the Conference
4.
The criteria for evaluating proposals include, but are not limited, to the following
 
•  Clarity of proposal
•  Relative merit
•  Contribution to the theme of the Conference
•  Interest to an international audience
5.
Authors will be notified of their proposal results by 9 May 2007and requested to provide a full paper closer to the conference date
6.
All confirmed abstracts for papers and posters will be published in the Conference Program Handbook. Full papers will be published on the website
7.
All confirmed workshop descriptions will be published on the Conference website
8.
Authors of abstracts must be registered for the Conference when confirming their acceptance
9.
The Committee's decision is final and no communication will be entered in to
10.
The acceptance of a proposal does not imply funding by the Conference Organisers


What happens next
  • You will receive notification of your proposal results via email, including date and session details
  • If you have not received notification of your proposal results by 9 May 2007, please contact the Conference Organisers, The Meeting Planners at aespresenters@meetingplanners.com.au
  • If successful, you will be required to confirm your acceptance of the invitation, confirm the name of the presenter and register the presenter to attend the Conference
  • Further instructions on presentation requirements will be provided in the notification letter and in additional correspondence
  • Instructions for the preparation of posters will be sent together with notification of acceptance

(Please note: All correspondence will be forwarded by email to one contact only. Unless otherwise notified, the Conference Office will assume that the name the submission was uploaded under is the name of the presenter.)

The invitation to submit a proposal does not constitute an offer to pay travel, accommodation or registration costs associated with the Conference. Similarly, no speakers' fee is paid to successful applicants of symposia or posters.

By submitting this proposal you confirm that it has not been published or presented before. You also grant the Organising Committee permission to publish the proposal and paper in the Conference Handbook in hard copy and electronic format.

If you do not wish to do this but still wish to submit please contact The Meeting Planners to discuss. The Organising Committee's decision on acceptance of the proposal will be final.
